2021 Carnforth Otters Christmas Club Gala

Our first club gala of 2021 will take place on Saturday 18th December 2021 from 1.30pm to 4.30pm and promises to be a very festive event (Please note there will be no regular training sessions on this day).

Events for swimmers aged 7 years and under on 31st December 2021 will be held in the tank (18m). All other events are in the main pool.

To cover costs involved, there is an entry fee of £2.00 per race entered and £1.00 door entry fee per person but will include a raffle ticket.

Although we intend to run this gala as a Level 4 licenced event, without sufficient officials and volunteers this will not be possible. The initial qualification is Timekeeper and doesn’t require you to commit much time but could really help your club. There is an online course that can be done in manageable parts on your smartphone or laptop. After completing the course with the guidance of our current officials you can log experience during events and help the club run licenced meets for years to come. Due to time constraints, we have to impose maximum entry restrictions of 3 events per swimmer aged 8-10 and 4 events per swimmer aged 11/over.The online entry form has been set to provide all races available per age group which will be displayed when date of birth is entered.
  1. Entries will NOT be accepted after the entry deadline of Saturday 11th December 2021.
  2. Entry times MUST be submitted and entry fee (£2.00 per event) paid, for entries to be accepted. Previous gala times, time trials and league times (e.g. Diddy league) can be used. If you don’t yet have a time, please ask your coach.
  3. Entries are restricted to a maximum of 3 events per swimmer, or 4 events for swimmers in the 11/over age group.
  4. Swimmers will be seeded according to their swim times, not age.
  5. Parents are required to register their swimmer’s attendance before entering the pool area.
  6. Medals will be awarded to the fastest 3 boys and girls in each age group (age as at 31st Dec).
  7. All swimmers receiving medals must wear a T-shirt AND shorts to comply with ASA child protection legislation.
  8. ALL swimmers must be full members of Carnforth Otters ASC in order to participate – ASA Regulations.

Roles that need filling on the day are as follows. Please get in touch if you can help:

Registration Desk

We ask all swimmers to register their attendance before entering the pool area. This is generally for health and safety purposes but also assists the timing suite team and marshalls so they’re not looking for swimmers who aren’t there.
The role itself includes manning the desk and ensuring swimmers are ticked off as they arrive. Once all are accounted for, the job is done. One person can undertake the role but two is preferable so one can report any withdrawals to the timing suite team as they come in. We do ask people to advise us of withdrawals in good time but on occasion that doesn’t happen.
Competitions/Timing Suite Team
Being part of the timing suite team involves learning Sportsys to build the meet ahead of the gala and data processing on the day. We need volunteers to ensure we can continue to deliver licensed meets in the future. The role also involves processing entries for externals meets. If anyone is interested in being part of the team, please get in touch.

Runners

These are people who transfer results from poolside to the timing suite and post results etc. We need at least 2.
Marshalls
People who contain and herd the swimmers from the marshalling area to line up ready for racing. Heat sheets are provided and you place the swimmers in lane order ready for their race. We need 5. Marshall’s require ASA registration and DBS clearance.
Announcer
A charismatic person who is comfortable using a microphone and makes the initial safety announcement as well as providing results/information throughout the gala.
Door Entry
We need 2 people to man the door, collect entry fees and sell raffles tickets.
Medals
We need 2 people to man the medal table. We try to position this with a good view so you don’t miss your child racing. Results sheets are provided throughout the gala and you just need to tick off names when medals are collected. It can get hectic, hence why 2 people is preferable.
Cake Stall
We will be running a cake stall on the day and need people to man it. Preferably 2. Donations would be gratefully received from any bakers out there.
Officials
To give you an idea of the requirements, the officials we need to run an 8-lane event are:
1 x Referee
1 x Starter
1 x Chief Timekeeper (preferably 2)
8 x Timekeepers
4 x Turns Judges
2 x Finish Judges
2 x Stroke Judges
As we’re running a Level 4 meet, the rules for officials aren’t as stringent but without the minimum quota, the gala can’t take place. We need more people to get involved.
As you can see from the above, we need a lot of help on the day.
We would also welcome anyone who would prefer to initially shadow roles on the day with a view to getting involved in future.
